How to book

Step 1 - Contact us to discuss you travel plans, or enquire by email

We are here to listen to your ideas, give you the benefit of our knowledge and help you conceive a program of travel that meets your needs.   Once you have contacted us, we will send out information relevant to your request, including itineraries and information about onward travel.  Having discussed your specific travel ideas, we will send out a detailed itinerary for you.  We will give you full guidance on the fitness and experience requirements for the trip you are interested in, to ensure that it’s the right one for you.

Step 2 - Complete and send booking form with deposit

Once you are sure about your intentions, we can normally hold accommodation and guides for up to a week, sometimes longer if you are booking a long way off.  However, to make a confirmed reservation, we require a completed booking form and deposit.  We will enclose a booking form when we send you your proposed itinerary.  Please read the booking conditions carefully, then complete all sections clearly, ensuring that your name and date of birth match the details on your passport and that you sign the form.  Then return the form to us by post and enclose a deposit for £300 per person travelling.

IMPORTANT: in order for us to process your booking we require evidence that you have adequate travel insurance.   We do not provide travel insurance ourselves - however, we can give you guidance on finding the appropriate level of cover for the activities you will be undertaking.  In our experience, general travel insurance policies do not cover you for trekking above 2000m, and only certain companies provide cover for this activity.  It is very important that your insurance provider is aware of the type of trip and the activities you are undertaking and that you have the commensurate level of insurance.

Step 3 - Confirmation

We will make all the necessary reservations and travel arrangements and send you confirmation of your booking in writing, receipt of deposit payment and a trip dossier.  The trip dossier will contain the following:
1. Detailed itinerary
2. Information on visas, health and vaccinations
3. Equipment list, recommending what to take and indicating what is provided
4. General Information about your destination, including useful words & phrases
5. Recommended reading

Step 4 - Final Payment and Travel documents

Final payment is due 2 calendar months before departure and we will send out a reminder letter or email before the due date.  As part of our financial control, your monies will be held in a special client account from which we make all the necessary payments to the in-country suppliers who will be looking after you during your trip.  On receipt of your final payment, we will send you payment confirmation.

Two weeks before departure we will send out a final letter which will cover any remaining travel details, including where you will be met and by whom, and confirmation of times for any internal flights arranged by us.  We will also provide you with a contact list showing details of our local representatives and accommodation, as well as a 24-hour emergency contact number should you require out-of-hours assistance from Traverse Line.
